Troubleshooting tips will be provided for each step. If you run into an issue you can't solve, reach out to the rep or Kael for additional help. 

DO NOT PUT AN "X" IN THE CELL UNLESS THE TASK IS 100% COMPLETE WITH NO FURTHER ATTENTION NEEDED

As you complete tasks, put an "x" and your initials in the cell for that task.

If you need to make a note about something, or have a question, make a COMMENT on the cell (right-click → comment)

Admin Pt 1

Check for Workspace

Click into Marketing Activities and scroll through the list of workspaces to find your client.

Troubleshooting:

If there is no workspace, check the other instances. If there is still no workspace, follow the steps here for Setting up a Marketo Account

Partition Created

Click to the Admin area of Marketo.

Click "Workspaces and Partitions"

Click to the "Partitions" tab

Check for the partition and that is it connected to the correct workspace

Troubleshooting:

If you can't find the partition, follow the steps here for Setting up a Marketo Account

Programs Imported

Head to the "Marketing Activities" section of Marketo

Find the client workspace and open the folders.

Look for the "Master Program Templates" folder

Verify the following programs exist for that client. (Note: The initials at the front should reflect the dealership)

Troubleshooting:

If you are missing any programs, follow the steps for Importing Master Programs in the Setting up a Marketo Account guide.

Design/Email

Unsubscribe Page

Navigate to the homepage for the client.

Add "--newsletter-unsubscribe" to the end of the URL to find the unsubscribe form.

Troubleshooting:

If the form doesn't exist, message the rep and ask them to request the page from support.

Email Snippets

Navigate to the "Design Studio"

Find the workspace for the client you're working on

Open the "Snippets" icon

Look for the "Local Snippets" folder. If one doesn't exist, right-click on the snippets icon and create a new folder.

There should be two snippets in the folder. A "Footer" and a "Logo" snippet.

Starting with the Footer snippet, click on the snippet and select "Preview Snippet"

Check that each social media icon has a link to the dealer's social media pages

Check the Name, Address, and URL for the dealer.

Check the link on the Unsubscribe button navigates to the correct page.


For the Logo snippet, make sure the correct dealer logo is present and that it links to the dealership homepage.


Once you've verified the snippet content, right-click on each snippet and select "Approve"

Troubleshooting:

If the snippets do not exist, or for some reason need to be updated, follow the instructions for creating them here: Creating Email Snippets

When you attempt to approve the snippet, if it's already approved, the option will not appear. Click on the snippet and check the "Status" under the snippet name.

Form Emails

This check-box will be marked off after we complete the steps for activating the form programs.

Nurture Campaign Emails

This check-box will be marked off after we complete the steps for activating the Nurture programs

Lists and Segmentation

Check List Migration

Navigate to Marketing Activities in Marketo

Look for the client workspace

Open the "Operational" program folder

Open the "Segmentation Programs" folder

Make sure there is a program for each segmentation for that dealer. Not every dealer will have them all. They should at least have a vehicle type, manufacturer interest, vehicle condition, and price range programs.

Open each segmentation program and check for smart lists that cover that dealer's inventory

If the "Light bulb" is on, it's good to go.

Troubleshooting

If it's "off" or grayed-out, follow the instructions for Segmentation List Setup in Marketo.

Form Programs

There are a lot of repeated steps for this section. I will cover each of the tasks below. They will need to be repeated for each form program.

Form Template Programs Cloned to Active Folder

In the Marketing Activities section, open the client's workspace.

Open the "Active Marketing Programs" folder

Check to see if ALL form programs have been added to the Active Marketing Programs folder.

Troubleshooting:

If they haven't, follow the first step in the Launching Form Response Programs guide.

Steps For Each Form Program

The following will cover the steps needed to verify and launch each form program

Email Ready

Open the form program and the "Assets" folder

Open the "Follow-Up Emails" folder

Click on the email and then click "Edit Draft"

Send Settings

At the top of the email, check the send settings

These should all reflect the dealership and the subject line should be relevant to the email. The Branded Domain should reflect the dealership's URL.

Email Content

Check that all content is updated and is not Lorem Ipsum default text.

Check each image and CTA for a link to a relevant page.

Check for the Unsubscribe link and that it's pointing to the correct page.


Finally, once the email is good-to-go, right-click on the email and click "Approve"

Once you have completed all of the form emails, go back to column "H" and mark that cell as complete.

Troubleshooting:

If you just need to add an unsubscribe link, follow the steps here: Updating Unsubscribe Links in Migrated Emails

If the email needs other link updates, leave a comment on the email cell with what needs to be updated.

If there is no Branded domain, follow the steps here: Setting up a Branded Domain

Smart Campaigns Verified

Follow the steps starting at "Assets" in the Launching Form Response Programs guide.

Live

When the email and smart campaigns are ready to go. make sure the campaigns are "Active" by checking for the light bulbs and clock in the browser.

Nurture Streams

The following steps will be repeated for each Vehicle Type nurture campaign

Before starting on this process, clone the nurture program to the Active Marketing Programs folder for that dealership.

Email Ready

Open the Nurture Program and the "Assets" folder

Open the "Nested Email Programs" folder

Open the first stream and then the first Nested Email program

Open the "Assets" folder

Click on the email and then click "Edit Draft"

Send Settings

At the top of the email, check the send settings

Update the name of the program with the vehicle type name. You can also update the folder name for that stream at this time.

Repeat this process for all 4 emails in that nurture stream

Once you have completed all of the Nurture emails, go back to column "I" and mark that cell as complete.

Email Added to Stream

Additionally, follow the steps for "Setting Cadence" in the same guide.

Rename each stream to reflect the vehicle type for that stream after you add the emails

Smart Campaign Setup/ Smart Campaign Live

Admin Pt. 2

Please reach out to Kael before completing these steps for a client

Verify DKIM/SPF

In the admin area, click into "Email" on the left-hand side.

Click to the SPF/DKIM tab

Highlight your client and click "Check DNS"

Both status' should say "Verified" if DKIM was properly setup.

Troubleshooting:

If you get an error, highlight the domain and then click "DKIM Details"

Send an email to emailsupport@dealerspike.com with the records listed.

Unsubscribe Workflow Setup

Import the "Unsubscribe Workflow" program to the workspace's "Operational" folder

Update the prefix of the program with the Dealership initials

Click on the Smart campaign and go to the "Schedule" tab

Click "Activate"
