SharpSpring to Marketo List Migration

Downloading the List

Go to the SharpSpring account for the dealer

Navigate to Contacts → Contact Manager

Click the "gear" in the top-right of the page and select "Export Leads"

In the pop-up window, click the box next to the "search" filed to deselect all fields.

Turn on the following fields:

  • First Name
  • Last Name
  • Phone Number
  • Vehicle Condition
  • Vehicle Interest
  • Vehicle Sub Type
  • Vehicle Type Name
  • Make
  • Location
  • Unit Location
  • Newsletter Opt-In

Click "Export"

Once it's finished running, download the CSV

In Marketo

Go to the "Database" area in Marketo and look for the client workspace

Click on the workspace to highlight it

Open the "Group Lists" Folder

Right-click and create a new list.

Choose the "Imported Lists" Folder

Name it with the Dealership Initials and "Sharpspring Import"

Open the "New" Drop-down menu and select "Import List"

Click "Browse" in the pop-up window and find your list from SharpSpring

Leave the settings as follows

Click "Next"

Update the "Marketo Fields" per the list below:

  • First Name → First Name
  • Last Name → Last Name
  • Phone Number → Phone Number
  • Vehicle Condition → ds_Vehicle Condition
  • Vehicle Interest → ds_Vehicle Interest
  • Vehicle Sub Type → ds_Vehicle Sub Type
  • Vehicle Type Name → ds_Vehicle Type Name
  • Make → ds_Make
  • Location → ds_dealership location
  • Unit Location → ds_Unit location
  • Newsletter Opt-In → mkto_Emailable

Leave others as "Ignore"

Click "Next"

If not already selected, choose the list you created in the earlier step

Choose "None" for the acquisition Program and click "Import"

UPDATE 2/21/20

In sharpspring, navigate to the "Email Jobs" section under the Analytics drop-down

Update the date to the past 3 months and look for a newsletter

If there are none, move on to the next client

If there are (as seen above), click on the three dots next to the latest email and select "View Email Report"

Once the report loads, click to the "Delivery" tab

Click on the drop-down menu and select "Delivered"

Click "Export"

Once the report is created, download it and open it.

Delete all data except for the "Email" Column

Label the next column "mkto_emailable"

Add the word "True" below the header and drag it to all of the contacts in the list

It should look like this once completed.

Save the list and follow the steps above to import the list into Marketo. This will update the status of these users without creating new records.

Unsubscribes

Repeat the process, but instead of choosing "Deliveries" in the drop-down menu, choose "Unsubscribes".

In that list, remove all data except the email address. Add the "mkto_emailable" column and set it to "False" for the list of unsubscribes.

This will ensure anyone who unsubscribed in the last newsletter isn't resubscribed.
