How to Request Setup Emails

The first three months of a new MA campaign are packed with emails. The request process for these emails has been simplified in order to make our lives (and the lives of our graphic designers) easier.


First, open up the request sheet

Each month has a separate tab, though you have enough information that you can fill out the requests for all three +in the first month.

Base Info

Fill out the Dealer Name and URL. Leave the Designer blank (that will be assigned by the Graphic Design team) and set the due date for mid-month or about 7 business days out if starting a bit later. List the top 5 vehicle types carried by your dealer (usually determined by # of units) and any Featured OEMs.

Month 1 Emails

Next, fill out the email-specific CTAs. Each email has a standard set of CTAs which you can find by clicking on the cell and checking out the attached note. We will only need to fill out the custom CTAs for each email.

For the welcome series, we typically want to include CTAs to all of the top vehicle types and the top manufacturers. This is the first email a user gets after submitting a lead and that users clicks can help us start to narrow down what they're interested in.

For the Trade-In emails, there is a generic set of CTAs, and then each of the 5 identified Vehicle Types will have it's own CTA dynamically populating based on user interest. Head to your clients site and look for the latest vehicle for each VT. These will be featured if a user is interested in upgrading their vehicle instead of trading in for a new type of vehicle.

Finally, if your client has a parts catalog, put the link in the "Parts Catalog" column.

Month 2

Just like the first month, fill out the Dealer Name, Site, and Due Date. 

Each Vehicle Type gets it's own 4-email nurture track. It starts with info on how to choose which sub-vehicle-type, follows with the best spots around to use the new vehicle, an email featuring the latest units of that VT, and finally an invitation for a test ride with a possible coupon (per dealer approval)

Fill out the Vehicle Type and Featured Manufacturers for that VT - basically any manufacturer they carry new units for.

For the new unit feature email, head to your client's site and find the newest 3-5 units to feature.

We always recommend some sort of coupon or promotion to include with the test ride offer email. It increases engagement and sign-ups.

Repeat this process for all 5 vehicle types

Month 3

You're almost done! Like the previous months, fill out the Dealer Name, URL, and Due Date.

Like Month 2, each vehicle type gets it's own post-sale nurture track with parts suggestions and service reminders.

The Thank You email is sent to all sold customers.

The Trade-in reminder comes at the 1.5 year mark and will have CTAs that dynamically populate based on the past VT sold. List the 5 main VTs here

For each vehicle type, create a list of parts and accessory recommendations. You may have to do some Google-ing to find some. Always consider the location of your dealer and how a user might be using their vehicle.

Next, work with your dealer to create 2 separate service reminders for the vehicle. The time delay and specifics can change depending on the VT. An example could be at 3 months, a motorcycle buyer could get an oil change reminder and then at a year they could get a full-service checkup reminder (it might be a good idea to include a coupon as well if allowed).

Repeat the process for all 5 VTs and you're done! Well, done requesting.
