Setting Up A New Card

New Requests

Copy the new template and start building out the card in Trello right away.

  • If you don’t have all the info from the dealer yet, use the grey “Waiting for Dealer Label.”

Building Cards

Sift out pertinent information from the emails and enter them into the Trello card. Fill out the sections to the best of your ability with the information you have.

Dealer Info

Add the dealership info.

Specify the Marketo instance

Add a link to a previous nurture email that was created for the client.

Title of Requested Email:


Give your email a relevant title. This should broadly cover the topic of the email.

eg. "Summer savings event", "2019 Bike Night", "Fall parts specials"

Paste the link to the email program here

What is the Context/ when will it appear in the user's inbox:


Put an "x" in the box that best explains the context of the email. 

What would your client like to see on this newsletter?


Every email should be moving people back to the website. Where do we want them to land? (eg. Used inventory page, parts info, blog) and what actions do we want them to take? (eg. Fill out a service request, submit an inquiry on a new bike, read an article about boating safety, watch an informational video)

In a few sentences, describe the theme, feel, and/or look of the newsletter.

Sections

If the client has specified elements they want to be present, or if you already have an idea of how the email should look, write it out here. Be as SPECIFIC as you can to avoid multiple rounds of change requests.

CTA Buttons

List anything you want a specific button for.

Adding Labels

High-Priority

If you have an emergency/rush order (24-hr turnaround or less), coordinate with the Creative Team Lead on a reasonable completion timeline and make sure the client is made aware of realistic deadlines. Under-promise : over-deliver

Add the high-priority label if relevant.

VIP

If you need a card sooner than the 5-day turnaround time, but it's not a 24-hr rush like the high-priority, add the "VIP" label.

Due Dates

For newsletters, set a due date of at least 5 business days out from the date of the request. If you need the request completed sooner, add the relevant label and set the due date for when you need the design completed.

For automations or other emails being requested for the next month, make sure there are no more than 5 other automation cards due on the date you're requesting the emails be completed. If there is already 5 due that day, either choose another day or work with the reps for those cards to see if anyone can be bumped.

Members

Always add yourself and the MA rep to the Trello card

Supplemental Emails

Should be sent to digms.design@dealerspike.com to supplement cards only when necessary. You may run into this if a client has provided a multitude of graphics or has laid out very specific info that didn't fit on the request card. 

If you find yourself about to send off an email to the design team, try and see if you can get the relevant info into the request itself. If not, be sure to mention the email you're forwarding in your Trello card.

Attachments

If a dealer sends a lot of attachments, put them in the client’s folder in FRED and then link that folder into the Trello card.

Should be used to outline any clear or distinct client change requests

Comments

Should be used to supplement this when needed and for communication between reps/designers

Completed Cards

After design in completed, cards will land in the "For Review (MA) column.

Once the email(s) are ready to be set live, drag the card to the "completed" column
