Offboarding an Employee

We offboard employees who are no longer with the team. The process keeps our database up-to-date and clean. The process also makes space for newcomers and is extremely helpful to the IT team when it comes to platforms that charges per seat. IT will remove the employee from the ecosystem automatically

Create a card on the Digital Marketing Operations Trello board.

  1. In the Templates column, click on the Offboard [Employee] card.

  2. Click the blue Create card from template button.

  3. Between the [Employee] brackets, remove the word Employee and replace it with the employee’s full name.

  4. Keep the Checklists (make sure the box is checked).

  5. Click the blue Create card button.

You don’t need to wait on other people for information when you offboard, but you do need to wait until the last day of the employee’s employment, or wait until they have left their position.

Go Through the Checklist

  1. Under the Assign People to Role section, click the Role is vacant button.

  2. Click Save.

  1. Open the desktop version of Outlook.

  2. Press Ctrl + Shift + B to bring up the Address Book.

  3. In the Address Book pull down menu, select All Distribution Lists.

  4. In the Search: box, type in DS - DigitalMarketing.

  5. Double click DS - DigitalMarketing to select the distribution list.

  6. In the window that opens, click Modify Members…

  7. In the Contact Group Membership window, find the employee’s name and click Remove.

  8. Click OK in the Contact Group Membership window.

  9. Click OK once more in the next window.

  1. Open the desktop version of Outlook.

  2. Press Ctrl + Shift + B to bring up the Address Book.

  3. In the Address Book pull down menu, select All Distribution Lists.

  4. In the Search: box, type in LV - Digital Marketing.

  5. Double click LV - Digital Marketing to select the distribution list.

  6. In the window that opens, click Modify Members…

  7. In the Contact Group Membership window, find the employee’s name and click Remove.

  8. Click OK in the Contact Group Membership window.

  9. Click OK once more in the next window.

Submit a ticket to helpdesk@leadventure.com and ask them to remove the employee’s email address to the Dealer Spike Trello workspace and Confluence.

IT will confirm once the process is complete.
