Tracking Emails From Insight 365

When tracking your emails from Insight 365, ideally you’ll set up the tracking before you hit send. There are times where you’ll want to track an email that was sent a while back, so we’ll cover that too.

When you’re ready to send off your email you’ll want to locate the menu button near the send/discard options. There will be an option for Dynamics 365. Click it. If you don’t have the option for Dynamics 365 you’ll need to have an Admin set this up. Go find your supervisor.

The Dynamics 365 side-bar should open and begin loading the most associated records in the CRM based on the emails you have listed in the To: field of your email. If the Dynamics sidebar loads and there are no relevant fields, there may be something wonky with how the contacts email address is, or isn’t, in the CRM.

If your sidebar loads and is similar to the example seen here, you’ll want to click on the account name. In this example, we’ll click New Vision Ser…

Don’t worry if your sidebar loads differently, there are many different fields of information in the CRM that have the ability to load here. Just look for the account.



Pro Tip: If you’re sending a lot of emails in one go, say during reporting, you can pin the Dynamics 365 bar to stay open during this session. It doesn’t load on every page so keep your eye open for the pin symbol.



Once you’re in the account view, you’ll find the most appropriate place to associate the email that we’re tracking. If you’re working with a client that has a project sheet for Digital Marketing we want to associate the record there. If your client does not have a project sheet, you’ll associate the record at the account level. Use the interlinking symbol at the top right for account level association.


To associate an email with a project, select tab, and find the projects option.




Once you’ve made it to the projects section, find the most appropriate field and select the menu button. Choose ‘Set Regarding’ with the interlinking symbol and make sure that a ‘track pending’ field appears at the top of the account section. The track pending will populate on every page of the Dynamics 365 plugin.
