Exporting Backlog Information

The Digital Marketing Operations team will update the backlog tabs every Wednesday by exporting the DigMS Backlog with Customer ID list from Dynamics365.
(This is an alternate version of the default list Intake Project Services with Past Due Start Date list).

To get the list:

  1. Click DigMS Backlog with Customer ID.

  2. Click Results! in the window that appears.

  3. Click Export Project Services.

  4. Click Static Worksheet.

  5. Open up your donwloaded .xlsx sheet.

  6. In the Service column, uncheck SMMT, SEM, and Search Engine Optimization.

  7. Copy and paste the entirety of the Customer ID and the Account list. This list should encompass Search Engine Marketing, Direct Marketing, and Targeted Digital Advertising project services.

  8. Go to the Audit Sheet tab of the DS/ARI Digital Marketing Backlog and use [CTRL+SHIFT+V] to paste the copied information in columns A and B.

  9. Take a look at column C. Any row resulting in #NA should be compared to the original export sheet and added to the Backlog tab.

  10. Once you have completed this step, it’s time to check for items to be removed from the backlog. Copy and paste the CRM ID and Account name from the Backlog tab and [CTRL+SHIFT+V] to paste in columns F and G.

  11. Take a look at column H. Any row resulting in #NA should be taken away from the backlog.

  12. Repeat the same steps as above for SEO by filtering for only Search Engine Optimization items and using the SEO Backlog tab.

DigMS Rep Responsibilities

  • Every week, each department’s representative will leave a note and date (Rep Last Checked, Rep Notes columns) regarding the service.

  • Operations team will read through comments and determine if issue needs further action, or if the issue has been resolved and the item can be removed from the list.

Removal from Backlog

The DigMS Operations team will be responsible for the removal of items from the backlog after a resolution has been reached. Items removed will either go to the Deal Deals Archive or the Go-Live Archive, depending on the outcome.
