This SOP is a work in progress. If you notice anything that is out of date, could be more clear or could be more efficient please update the SOP or add a comment to start a conversation.

Purpose

Clearly lay out how a quarterly report is created in NinjaCat which supports reporting automation to the CRM. Document the process and clearly define which team is responsible for report creation.

Procedure

Inputs:

  • An SEO client needs a quarterly report made by the Juniper rep to be used four times a year.

 Step 1: Navigate to the ‘REPORTING’ tab in NinjaCat.
  • Here you can see a history of all reports previously created and run, along with which ones need to be sent, have any errors, or are scheduled to run.

Helpful Tip: You can also navigate to your client’s account through the ‘ACCOUNTS’ tab in NinjaCat, then go to the reports section within the account to see the reports that have been created for your client.

 Step 2: Click on the blue ‘CREATE REPORT’ button at the top of the Reports tab.
  • You will see a window pop up to fill out needed information for the new report template.

Helpful Tip: If you are navigating through the Accounts sections rather than Reporting, you will click on the blue '+' at the top right of the Reports section in your account.

 Step 3: Fill out the following information for the report within the pop-up window.
  • Account: search through the dropdown menu to find your client’s name.

  • Template: Select the ‘SEO Quarterly Report’ template for your client. The same template is used for both DS and ARI.

  • Schedule Type: Make sure that ‘Manual Run’ is selected.

  • Email:

    • For E-Mail Mode, select DO NOT EMAIL.

    • For E-Mail Recipients Mode, select MULTIPLE, then in the E-Mail Recipients space, you should add ‘ninjacatreports@leadventure.com’, as well as the dealer email(s) that the report should be sent to. Separate every email with a semicolon.

  • E-Mail Subject: Enter ‘SEO Quarterly Report {REPORT_DATE_RANGE}’. The File Name will pull automatically matching the email subject, so that should be left as-is.

  • All other fields should be left as-is.

IMPORTANT: Always LEAVE THE E-MAIL BODY BLANK! If there is anything in this field, it can mess up report automation settings that have been created and cause problems with the report.

 Step 4: Click 'SAVE CHANGES' at the bottom of the window
  • Your new report has been created!

Outputs:

  • A new quarterly report has been created.

FAQs

 Why do we add ‘ninjacatreports@leadventure.com’ to the Email Recipients space?

When reports are set to send to the NinjaCat reports email in addition to being sent to the dealer contact, there are automation processes in place to take those reports and automatically upload them to the Documents section of the client’s DigiMS Project tab in the CRM without requiring human intervention.
