3. MA (QA)

MA QA consists primarily of reviewing email sets and matching them to completed, deliverable emails. These emails represent the combined efforts of both MA Specialists and Graphic Designers so the QA Specialist will need to be knowledgeable with respect to both MA and Graphic Design processes. Additionally, you'll find a breakdown of MA Report QA responsibilities and guidelines.

MA QA Process


QA Specialist

When performing QA for an MA Specialists' monthly work, the QA Specialist will:

  • Navigate to the Needs QA column on the MA QA Trello Board
    • The QA Specialist will prioritize work by the due date/date submitted
  • Open the Trello card and review the name of the email set (SL1, SL2, SL3, SL4)
  • Navigate to Outlook (email) and then to the MA Group Inbox for test emails
    • This is where MA Specialists send completed test emails
    • Email: DigMS.QA@dealerspike.com
  • Search for and open the emails corresponding to the email sets identified on the QA Trello card
  • Review the different fields of the completed emails, taking note of:
    • Subject line
    • Preheader
    • Body copy
    • Spelling, grammar, punctuation
    • Review all links included
    • Footer element 
  • Additionally, the QA Specialist will check the Graphic Design elements of each email, noting:
    • Check the dealer's logo against the website
    • Review the included image(s) based on the Graphic Design Rubric for whether or not the image meets all appropriate criteria
  • If corrections are required, the QA Specialist will leave a new comment, tag the MA Specialist, and leave notes with subheadings for each email set included
  • The card is then sent to the Needs Corrections column 
    • The MA Specialist will only return the card for further corrections if the QA Specialist indicates this on the card itself
  • Once all corrections are made, or if there are no correctiosn to be made, the card will be moved to the Good to Go column

MA Specialist

In order for the QA Specialist to complete their monthly work, the MA Specialist must:

  • Create a new card for their dealer on the MA QA Trello Board
  • Leave a comment with their email sets, including the subject line, as well as a link to their correctly filled out image request template on the DigMS Graphic Design Trello Board
  • Once complete, they will move the card to the Needs QA column on the MA QA Board
  • Monitor the Needs Corrections column for any QA corrections that need to be made
  • If any Graphic Design QA notes have been left on the card, the MA Specialist is responsible for informing the Graphic Designer of the required changes


MA Report QA Process


QA Specialist

When reviewing Monthly MA Reports, the QA Specialist will:

  • Navigate to, and open, the most recent MA Monthly Report QA folder on Google Drive
    • The link to the folder changes each month, it should be provided to the QA Team via link from the MA Department Manager or Senior Representative
  • Navigate to and open the MA Client Tracker
  • If there is a "1" in the Rep QA column on the MA Client Tracker, the QA Specialist will review the report from the MA QA Folder on Google Drive, paying attention to:
    • 1st slide: Correct month, "Marketing Automation Report, dealer logo, and our company logo
    • 2nd slide: Don't worry about zeros, but do call out any words/text that are cut off or missing from the report template
    • 3rd slide:  Either a template or bullet pointed list is fine, make sure the slide is consistent with the last month's newsletter stats, and check spelling and grammar
    • 4th slide: Slide may or may not be present, if it is, call out formatting errors, or removing the slide entirely if all values are zeroes. 
  • If there is a "1" in the Rep QA column but the report is NOT in the MA QA Folder, the QA Specialist will highlight the cell turquoise
  • If the report requires no corrections, the QA Specialist will put a 1 in the QA QA column on the MA Client Tracker
  • If corrections are required, the QA Specialist will highlight the Rep QA cell yellow and include comments for what must be addressed
  • The QA Specialist will then move on to the next report

MA Specialist

Before a QA Specialist and review an MA Report, the MA Specialist must:

  • Generate their monthly report through Ninja Cat and perform first line QA
  • Upload their MA report to the most current month MA QA Folder on Google Drive
  • Leave a "1" in the Rep QA column to indicate it's ready for QA
    • This should mean that the MA Specialist believes it's ready to send to the client, not that they're ready for QA to catch all of their errors.
  • If the report requires corrections, MA Specialist will read and address the comments left for them in the Rep QA column
  • Once the report has been corrected, the MA Specialist will leave the cell yellow, and type a "1+initials" to indicate the changes have been made
