The Digital Marketing Department uses Organimi as our org chart platform. Here, you will find the entirety of Digital Marketing in LeadVenture. The Operations team is responsible for updating the charts as necessary. Follow the steps below to onboard an employee.

Create a card on the Digital Marketing Operations Trello board.

1. In the Templates column, click on the Onboard [Employee] card.

2. Click the blue Create card from template button.

3. Between the [Employee] brackets, remove the word Employee and replace it with the employee’s full name.

4. Keep the Checklists (make sure the box is checked).

5. Click the blue Create card button.

Once you have completed the steps above, a new card will be generated. Often, you will get partial information. It is best to wait until you have all the information before proceeding.

Gather information

 You will need the following information to onboard an employee

Start Date
Name
Position
Manager
Company
Email address
Country

Go through the checklist

 Add to Organimi.
  1. To add a new employee to an existing role, click Edit Role.

  2. Click + New in the right column.

  3. Type in the First Name, Last Name, and Location (country) of the employee.

  4. Click Save.

 Add to DS - Digital Marketing distribution list.
  1. Open the desktop version of Outlook.

  2. Press Ctrl + Shift + B to bring up the Address Book.

  3. In the Address Book pull down menu, select All Distribution Lists.

  4. In the Search: box, type in DS - DigitalMarketing.

  5. Double click DS - DigitalMarketing to select the distribution list.

  6. In the window that opens, click Modify Members…

  7. In the Contact Group Membership window, Click Add…

  8. In the Add Users window click the Address Book: pull down menu and select Global Address List.

  9. In the Search: box, type in the employee’s name.

  10. Double click the employee’s name in the search results.

  11. Click OK. The Add Users window will close.

  12. Click OK in the Contact Group Membership window.

  13. Click OK once more in the next window.

 Add to DS - Digital Marketing distribution list.
  1. Open the desktop version of Outlook.

  2. Press Ctrl + Shift + B to bring up the Address Book.

  3. In the Address Book pull down menu, select All Distribution Lists.

  4. In the Search: box, type in LV - DigitalMarketing.

  5. Double click LV - DigitalMarketing to select the distribution list.

  6. In the window that opens, click Modify Members…

  7. In the Contact Group Membership window, Click Add…

  8. In the Add Users window click the Address Book: pull down menu and select Global Address List.

  9. In the Search: box, type in the employee’s name.

  10. Double click the employee’s name in the search results.

  11. Click OK. The Add Users window will close.

  12. Click OK in the Contact Group Membership window.

  13. Click OK once more in the next window.

 Add to Teams - Digital Marketing channel.
  1. Open up Microsoft Teams.

  2. Find the Marketing Department Chat and click the ⚫ ⚫ ⚫ to the right of the name.

  3. Click Add Members.

  4. Begin typing the employee’s name and select it.

  5. Click Add.

 Ask IT to add to Trello workspace & Confluence group.

Submit a ticket to helpdesk@leadventure.com and ask them to add the employee’s email address to the Dealer Spike Trello workspace and Confluence.

IT will send an invitation to the employee.
