How to either share your entire desktop or share a specific desktop window with your dealers to improve communication between you and your clients
What You Should Know About RingCentral Meetings
Your dealer doesn't need RingCentral Meetings in order to do a screenshare, but when they click your invitation link, they will be forced to download the app in order to see your screen.
Additionally, if your dealer can ONLY speak to you on the phone, you’ll need to mute the audio on your RingCentral Meeting and use the RingCentral Phone app to call your dealer.
Getting Started
RingCentral Meetings should be pre-installed on your machine
If not, you can navigate to RingCentral’s Admin Portal, sign in, and download and install the program from there. You won’t need IT to do this for you!
When you first open RingCentral Meetings you may be prompted to update the software. You’ll need IT to do this, so either submit a ticket through helpdesk@dealerspike.com or click “cancel” if you need to use the program immediately
Select the “Start without video” option to create a meeting
If you select “Start with video” get ready for your own face to be staring right back at you
Join computer audio
To make sure others can hear you, you’ll need to join computer audio
When prompted, select “join computer audio”
Also, make your life easier, select the “Automatically join audio by computer when joining a meeting” option
...
Then, double check your microphone and speakers are set to your headset
Click the drop down arrow next to the microphone icon in the lower left hand corner of the app window
Make sure your microphone is set to your headset
Make sure your speakers are set to your headset
Share your screen
To begin sharing your screen, select the “Share” icon in the center of the app window
...
In the window that pops up, CAREFULLY select which window you’d like to share with your client and select “Share”
If you select “Main Screen” EVERY program in every desktop window will be visible to your dealers. If you have sensitive information open, consider closing it or only selecting a single screen to share
To share a specific window or program, click on the specific window or program from the list of the different program windows available
Invite others to your meeting
Now that you’re broadcasting (sharing) your screen, it’s time to invite other users
In the black toolbar that is now available, select “More” and then “Invite”
...
When your dealer has joined your meeting you’ll hear a “ding” and the “Manage Participants” icon will change numbers to reflect the total number of users inside your screen share session
This additional user is now seeing everything on the screen you’ve selected to share
Ending your meeting
At the end of your screen share session, your temptation will be to click the red “Stop Share” button in your toolbar. THIS ONLY ENDS THE SCREEN SHARE. All connected users can still hear EVERYTHING you say.
To successfully end your meeting and disconnect your users, select “More” from the toolbar and then click on “End Meeting”
