On this page, we'll breakdown the responsibilities, link up resources, and guide you through selecting, completing, and submitting Graphic Design image requests for the SEO (Search Engine Optimization) Department.

SEO Specialists

On the Digital Marketing Graphic Design Trello Board an SEO Specialist must:

  • Copy the design request template into a new card and fill it out by adjusting the templated description accordingly. These requests include:
    • YouTube Icon
    • YouTube Channel Art
    • Email Header Image
    • Website Banner Image

Graphic Designers

On the Digital Marketing Graphic Design Trello board the Graphic Designer will:

  • Select an image request Trello card, read the completed design request template, and determine if they can accept the request based on their current workload
  • If claimed, they will tag themselves by adding themselves as a member to the Trello card
  • If claimed, they will move the design request card into the In Progress column


Screen the Request for Accuracy


Graphic Designers

Before moving on to fulfillment, the Graphic Designer will:

  • Screen the information included in the request to ensure the correct data has been provided, click the links to make sure they lead to valid resources, etc.
  • If any information is missing or the links are invalid, the Graphic Designer will create a new comment on the card, tagging the appropriate SEO Specialist, state the problem, then move to the card to the Rep Fix for Designers column

SEO Specialists

To ensure their image request is completed in a timely manner, the SEO Specialist must:

  • Monitor the Rep Fix for Designers columns
  • If a card is kicked back, SEO Specialists are required to provide the requested updates within 24 hours
    • If a card is left in the Rep Fix for Designers column, it is still the SEO rep’s responsibility to follow up and ensure the design request is completed before the end of the month. Failure to do so results in the card getting archived on the last working day of the month
  • Once the changes have been made, the SEO Specialist will move the image request card to the Changes column


Fulfill the Image Request


Graphic Designers

Using a combination of image databases, preexisting branding guides, templates, department resources, and Adobe Creative Cloud, the Graphic Designer will:

YouTube Icon / Channel Art

  • Navigate to dealers' website to pull background images and dealer logos
  • Using the available images on the client's website, channel art will be created to match the appropriate sizes and preserve correct branding for the dealer 
    • YouTube Channel Art size in pixels: 2560 x 1440
  • Using the client's logo, a YouTube icon will be generated to preserve branding for the dealer
    • YouTube Icon size in pixels: 800 x 800
  • Once the Icon or Channel Art have been created, the Graphic Designer will add a new comment to the card with a link to the completed YouTube Assets, and move the card to the All QA Column
    • If the card is kicked back by QA, the appropriate changes will be made and either the card will be passed along or returned to QA for further review 
  • Once the final YouTube assets have been QA'd, the Graphic Designer will navigate to the client's YouTube channel and upload their respective YouTube Assets
  • The Graphic Designer will then make a new comment on the image request card, tagging the SEO Specialist, letting them know their art is complete and uploaded, and move the card into the For Review Column
  • Once the image request has been fulfilled, the Graphic Designer will record their assignment on the DigMS Graphic Design Daily Tracker

Email Header

  • Navigate to dealers' website and pull background images and dealer logos
  • Using the available images on the client's website, an Email Header will be created to match the appropriate sizes and preserve correct branding for the dealer 
    • Size in pixels: 700 x 180
  • Once the Email Header has been created the Graphic Designer will add a new comment with a link to the completed Email Header image and move the card to the All QA column
    • If the card is kicked back by QA, the appropriate changes will be made, and either the card will be passed along or returned to QA for further review 
  • Once the final Email Header has been QA'd the Graphic Designer will navigate to the /images/seo folder of the dealers' website on the FTP server (using Notepad++) and upload the image there
  • Then Graphic Designer will then navigate to the client's Grade.Us account and upload the finished Email Header to the email template
  • The Graphic Designer will then make a new comment on the image request card, tagging the SEO Specialist, letting them know their art is complete and uploaded, and move the card into the For Review Column
  • Once the image request has been competed, Graphic Designer will record their assignment on the DigMS Graphic Design Daily Tracker

Homepage Banner

  • Navigate to dealers' website and pull background images and dealer logos
  • Using the available images on the client's website, an Email Header will be created to match the appropriate sizes and preserve correct branding for the dealer 
    • Size in pixels: Varies depending on the client’s website.
    • The Graphic Designer will download the existing Homepage Banner to learn what size their banner should be
  • Once the Homepage Banner has been created, the Graphic Designer will add a new comment to the image request card, providing a link to the completed Homepage Banner image, then move the card to the All QA column
  • If the card is kicked back by QA, the appropriate changes will be made and either the card will be passed along or returned to QA for further review
  • Once the image request has been fulfilled, the Graphic Designer will record their assignment on the DigMS Graphic Design Daily Tracker

QA Specialist

For Homepage Banners, the QA Specialist will:

  • Check the quality of the banner, then either move the card to the For Review column and tag the SEO Specialist in the comment to let them know that it is ready for uploading; or send the design back to the Changes column for further revision by the graphic designer.
