Monthly Report Guide
Creating reports
Log into the client account
Navigate to the Analytics drop-down and select “Email Reports”
Click “Select a Report…” and choose “Email Report…”
Click “Select Email(s)” and select ALL emails.
- Hit the "+" and select "Send Date"
- Change the range to "Last Month"
Click “Build Report”
Look at the total number of sends for each email
Make a note of which emails have a much larger number (think 1000 sends vs 100) and remove those emails from the report by deselecting those emails and rebuilding the report
Updating the Master Stats Sheet
Before exporting each report...
Take a look at the total stats at the top of the report
- Open up this sheet: https://docs.google.com/spreadsheets/d/1HNkfW3a8NsxgBvEI1Hzk8jiBggubpm03SBFLJwvHsJk/edit#gid=354356618
- Find the client in the relative "Rep Stats" tab
- Update the stats in the sheet with the stats in both the Automation and Newsletter reports

Automations
Once your report has loaded from the previous step...
Select the gear icon in the top right corner, hover over “Export” and select “Report to CSV”
Open the CSV
Remove rows with emails with 0 sends for that month
Navigate to the “Sharpspring MA Automation Data Import” tab of your client sheet
Copy/Paste ALL the data from the report into the sheet.
Newsletters
- Build another email report with the emails you took out of the previous report
- Download the CSV
- Navigate to the "Sharpspring MA Newsletter Data Import" tab
- Copy/Paste ALL data from the report into the sheet
Lead Score Data
Navigate to the Contacts drop-down and select “Contact Manager”
Select the gear icon in the top right and choose “Export Leads”
After the report is created, click to the “Export Manager” in the yellow bar at the top of the page
Select the report file name to download the CSV
Remove all leads with a lead score of 90 or less
Navigate to the “MA Lead Score Data” tab of your client sheet
Delete any old data, and copy/paste in the new set of data
Select the sheet and hit the "Filter" button
- Navigate to the "Lead Score with Decay" column (Usually Column K) and sort High to Low
- Insert one column to the very left of the sheet and label it "Hot"
- For every lead score above 100, put a "1" in the "Hot" Column
- NOTE: FOR MARKED ROWS, MAKE SURE THE DATE IN COLUMN B IS FROM THE PREVIOUS MONTH. IF IT'S NOT, MANUALLY UPDATE IT TO THE 1ST OF THE PREVIOUS MONTH.
Lead Source Data
- From the "Contact Manager"
- Click on "Advanced Search"
- Under "Created Date", look for leads between the first of the month and the last of the month.
- Search
Select the gear icon in the top right and choose “Export Leads”
After the report is created, click to the “Export Manager” in the yellow bar at the top of the page
Select the report file name to download the CSV
- Navigate to the "MA Lead Source Data" tab
- Copy/Paste the data from the CSV into the sheet
- Add a column to the left of the Create Date column and label it "Lead"
- Put a "1" in each row
- NOTE: FOR MARKED ROWS, MAKE SURE THE DATE IN COLUMN B IS FROM THE PREVIOUS MONTH. IF IT'S NOT, MANUALLY UPDATE IT TO THE 1ST OF THE PREVIOUS MONTH.
WD/PW
There are a few steps we have to take to ensure our WD and PW blurbs show up properly on our reports
Navigate to the MA Work Done tab and copy the work done for the month
Click over to the MA WD Import tab and paste the work done into the proper column
To avoid a huge block of text, separate each paragraph into its own cell
Rinse and repeat for the proposed work
